Transaction Types

 

 

 

 

1.  What are Transaction Types?

 

Transaction Types are vital reference files used for for managing and controlling income, expenses and invoicing.

They are a method of assigning every expense in AusFleet to a specific classification for reporting, invoicing etc.

Every expense recorded in AusFleet is allocated to a Transaction Type such as fuel, maintenance, parts, labour, tolls etc.

Some are system-required and are automatically applied to transactions based on the module they relate to. These descriptions are therefore not editable and do not need to be re-entered.

 

You must tick those transaction types that you intend to invoice so that they appear in Invoicing module.

 

If you use General Expenses module for miscellaneous expenses, you also need to create expense types for general expenses, so they are classified separately.

2.  Creating "Transaction Types"

The list is separated into System and User Defined Transaction Types.

System defined descriptions cannot be edited are are linked to specific transaction types in AusFleet

 

A short and long description can be entered, particularly useful where Transaction Types are mapped for interfacing to finance systems which use their own account descriptions.

Tick the transaction types that you intend to invoice via the Invoicing module.  Those not ticked will never appear in Invoicing.  This avoids a build up of records in Invoicing module.
